Before you begin

The SQL Server edition of ProjectTrack uses Microsoft SQL Server, in any of its versions, to store all its data. We recommend version 2008 of MS SQL Server, but you can also use the 2005, 2000 or 97 versions.

ProjectTrack works with all the editions of MS SQL Server, including the Express Edition (free).

If your company doesn't have SQL Server already installed, you can download Microsoft SQL Server 2008 Express, the free edition, from here.

Contact your IT department to help you decide which version and edition of MS SQL you should use (we recommend the 2008 edition) or if you already have one installed and ready to be used.

You, and all the people expected to work with ProjectTrack, will also need the latest version of Microsoft Data Access Components (MDAC). You can download it from here.

Also, make sure the SQL Server is configured to accept connections via TCP/IP. By default SQL Server 2008 Express has this type of connection disabled. Contact your database administrator for details.

Installing ProjectTrack Collaborative for SQL Server

To Install the product, follow these steps:

  1. Log into your computer as an administrator.
  2. Ensure you have installed the latest version of MDAC.
  3. Make sure you have access to the SQL Server instance you want to use. If you need to install SQL Server, do it before attempting the ProjectTrack installation.
  4. Download ProjectTrack Collaborative for SQL Server from here.
  5. Save the file (PTSQLSetup.exe) in your computer, as you normally do.
  6. Start the installation program and follow these instructions:

    Select the language you want to use during the installation

  7. Read the information provided in the next screens and accept the license agreement.

    Select the location where you want to install the program as well as the program folder (imaged not showed)

    In the next screen, if you are the administrator of the system, select the Custom Setup. This will allow you to install the administrative tools needed to create the SQL Server database and to import your existing data from other ProjectTrack editions.

    For standard users, leave the setup type as Typical or Minimal.

    If you selected the custom setup, you will see the image below. The program is telling you that will install the application and the administrative files. If you do not need the administrative tools, un-check the administrator files box.

    After another screen (not showed) giving you information about the options selected, the installation will start and once it is completed, you will see the screen below.

    Click Finish and the installation is completed.

    Please, move to the next section to configure ProjectTrack for the first time.

Configuring SQL Server to work with ProjectTrack

Before you start working with ProjectTrack you need to create a SQL Server database and populate it with some data. You can use the default values of ProjectTrack or import any data from your existing ProjectTrack applications (Express, Personal or Collaborative).

To configure ProjectTrack, follow these steps:

If you installed the administrator files, go to the Start button, go to Programs and find the folder ProjectTrack SQL Server. Under this folder there is a program called SQL Server Tools. Click on it

Once the program starts, select the language you want to use (Currently you cannot select Spanish.)

Next select the option YES, Create the database, if this is the first time you are configuring SQL Server or if you want to delete the existing database.

If you select NO, the database will not be created. If a database already exists you will be able to import your data into it.

The database will be named ProjectTrack.

The next screen asks you for a User ID and password. This User ID will be used by the ProjectTrack application to connect to SQL Server. The wizard will create the User ID and will associate it to the ProjectTrack database.

We recommend that you modify the values set by default by the application, but remember those new values, you will need them every time you install ProjectTrack at a new client to tell the program how to connect to SQL Server.

Now you can decide if you want to import your data from your existing installation of ProjectTrack Express, Personal or Collaborative, or if you want to use the default values provided by the configuration wizard.

If you select to import data and do not select all the check boxes, the wizard will provide default data for those items not selected.

Select the location where the data you want to import is. The default location is C:\Program Files\iLore ProjectTrack\Data (or C:\Program Files (x86)\iLore ProjectTrack\Data if you are using a 64bit copy of Windows)

This screen only appears when the option of importing data is selected.

The wizard is now ready to go. Review your selections and press Next to start the configuration process. If you want to change any option, press Back.

The wizard will ask you to login into SQL Server. The User ID and password requested is NOT the one you just defined for the application, but another one you already have. This could be the one you created when you installed SQL Server, or one given to you by your database administrator.

In the example below, we are using the sa (system administrator) user to login into the Company\SQL Server.

The wizard will perform the selected actions.

Any errors during the process will be reported. Please contact us at support@ilore.com with any questions or needs.

You are now done with the first part of the configuration.

Now we need to start ProjectTrack for the first time to ensure the SQL Server configuration is OK and to define a couple more options.

Executing ProjectTrack for the first time

From the Start button, go to Programs. Find the folder ProjectTrack SQL Server and click on the program iLore ProjectTrack SQL Server.

You will see the window below. It is asking you to login to SQL Server. User the User ID and Password created in the wizard. In the screens above we used PTUser and PTUser001.

If you entered the data correctly the program will not ask again for this information. It will be stored in the computer and will be used each time ProjectTrack is started.

If the User ID is changed or if ProjectTrack cannot find the database at a later time, the dialog will be displayed again.

After logging into SQL Server you will see the following screen:

Now you will start configuring ProjectTrack. The first think you need to do is to select a password for the administrator account (of ProjectTrack, not SQL Server).

The default user ID for the Administrator account is admin and the default password is also admin.

If you forget the password you can provide the answer to a question defined by you to reset the password. The next window allows you to select the question and the answer.

If you want all the users to enter their password to access ProjectTrack, check the box.

Enter the name of your company. ProjectTrack will create a company and populate it with some sample values to get you started.

You can change the logo and background that will be displayed in reports.

Finally you can select the profile type you want to use.

ProjectTrack allows you to keep track of many different type of items, but you many not need all of them.

Move the mouse over any of the Profile Types do see a description. You can also launch the Profile Wizard to help you decide what profile is better for you.

You are done! ProjectTrack will start after you click Finish.

Installing ProjectTrack in the user's machines

Before installing the users make user each of their machines has the latest version of Microsoft Data Access Components (MDAC).

Also, make sure the SQL Server is configured to accept connections via TCP/IP. By default SQL Server 2008 Express has this type of connection disabled. Contact your database administrator for details.

To install the application in each of the user's workstations, download and copy the installation program into the user's computer and run it. The installation program is the same you already used (PTSQLSetup.exe).

Go over the installation wizard and select the Typical installation option, instead of the custom one you selected in the administrative install.

After the installation is completed, execute ProjeckTrack. It will ask you for the login to the SQL Server. This is the same login you defined when creating the database.

ProjectTrack will now start and the user is ready to use the program.
